Job Description:
This position provides support to the Vice Presidents of Legislative Affairs, Vice President of Regulatory Affairs, and Vice President for Public Policy. Exercises confidentiality, tact and diplomacy. Uses business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.; may prepare responses to routine correspondence and inquiries. Receives, screens and directs incoming calls, visitors, mail and e-mail. Maintains files, records, and calendars; arranges business travel, coordinates meeting arrangements, and tracks expenses. Works within established procedures with a moderate degree of supervision; serves in non-exempt capacity.
Job Responsibilities:
- Maintains files, records and calendars
- Prepares expense reports and credit card reconciliation statements
- May prepare and update functional reports or records requiring compilation of information from multiple sources
- Exercises excellent interpersonal skills and demonstrates the ability to work with employees at all levels within and outside the organization in a highly professional manner
- Prepares invoices for processing and payment
- Works with limited supervision
- Performs general office management duties such as supply ordering, facility coordination, and interface with other corporate functions/initiatives
- Effectively handles a wide variety of telephone calls, e-mails, visitors and appointments to effectively manage the time of the executives
- Coordinates travel arrangements and meeting preparations. Anticipates a variety of simple to complex needs and potential issues; ensures all needs are met and issues are proactively addressed
- Uses software applications (e.g. Word, PowerPoint, SharePoint, Excel) to prepare correspondence, reports, presentations, agendas, minutes, etc.
Job Requirements:
- Ability to research independently, multi-task, and meet deadlines under tight timeframes
- Experience with and thorough understanding of compiling and managing team expense reports
- Thorough knowledge of Duke Energy organization, policies and procedures
- Associates or Bachelor’s degree preferred
- Demonstrated ability to build working relationships with all levels of organization – inside and outside of Duke Energy
- Demonstrated ability to manage confidential information with integrity
- Manage confidential information with the highest integrity
- Computer skills, including Outlook, Excel, Word, Power Point and SharePoint
Qualification & Experience:
- Eight (8) or more years of relevant professional experience in addition to High School diploma
- High School diploma or equivalent
